Administration Assistant

EDPM is the Engineering, Design & Project Management sector of SNC-Lavalin. We plan, design and enable the delivery of complex projects and major programmes across transportation, energy and infrastructure. Primarily made up of Atkins, including Faithful+Gould, we push boundaries and create value as trusted advisors to our clients and partners.

SNCL Atkins currently have an opportunity for Administration Assistant in Bristol.

As an Administrative Assistant you will provide support to the Head of Data Privacy and the wider team based in our Bristol The Hub office. 

Responsibilities

  • Assist in all administration and support of the Office and overall Data Privacy Compliance Team Management.
  • Assist Head of Data Privacy with daily management, scheduling meetings and note taking.
  • Carry out general administrative tasks including photocopying, scanning, filing, etc.
  • Assist with administration of bid paperwork
  • Handle requests for information and data
  • Resolve administrative problems and inquiries
  • Prepare written responses to routine enquiries for Data Privacy Compliance
  • Assist with management of group email inbox and volume of queries.
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails
  • Assist with the creation, formatting and maintenance of global documentation and team sites, including Privacy Notices, Privacy Statements, SOPs, work instructions and guidance notes
  • Assist with managing Subject Access Requests and other data subject requests
  • Manage Monthly Reporting and collation of Team and Programme Progress

Requirements

  • Educated to at least GCSE level (or equivalent) and have achieved 4 Grade C's or above, including Maths & English.
  • NVQ Level 3 in Admin would be advantageous.
  • Experienced user of MS Office
  • Previous administrative experience - compliance, legal, IT, data or project fields preferable
    Excellent organizational skills
  • Excellent written and verbal communication skills
  • Excellent attention to detail
  • Ability to handle information and business affairs with secrecy and confidentially as appropriate
  • Integrity and high professional ethics;
  • Able to use own initiative and to work unsupervised
  • Ability to communicate effectively with key stakeholders across national boundaries and cultures;
  • Adequate self-awareness and confidence to acknowledge knowledge gaps and seek to fill them from reliable sources
