Job Details-
• Providing support to experienced colleagues within your team; assisting them in carrying out a high-quality clerical/administration service.
• Positively representing the organisation and in many cases, being the first point of contact for colleagues, customers and suppliers. Answering the telephone, screening and directing calls and taking and relaying clear and concise messages.
• Sorting, registering and distributing incoming and outgoing documents; adhering to the organisation's professional standards (Business Management System).
• Arranging UK and overseas travel and accommodation. Coordinating meeting room bookings and associated requirements including
• refreshment and equipment needs.
• Preparation and maintenance of electronic and manual filing systems, and assisting with archiving requirements.
• Preparation of general correspondence including writing and dispatching routine or straightforward letters, emails and other communications.
• Proof-reading documents to check they are complete and accurate.
• Compiling, copying and distributing documentation.
• Local management of corporate and general office stationery requirements.
• Operating office equipment and attending to/reporting routine maintenance needs.
• Completing additional general office clerical/administrative duties and ad-hoc marketing support, as needed.
• Developing your knowledge and experience of office administration and familiarising yourself with associated duties and systems.
• Applying the principles of quality assurance and environmental management in compliance with the organisation's Policies.
• Developing your understanding of the organisation's Policy and arrangements for managing your own personal safety while at work.
• Developing and adapting your communication skills, particularly with customers, to reflect the organisation's values.
• Increasing your understanding of Faithful+Gould's and Atkins' service offering and the benefits these bring to clients.
• Consciously monitoring how you interact with others, in accordance with the organisation's values.
Qualifications –
• A good standard of education is required for this role including a recognised
• qualification in English and maths. Having basic knowledge and understanding of general administrative and clerical procedures.
• Previous experience in an administrative role.
• Ability to confidently operate a telephone system and/or switchboard, as relevant to your role.
• Ability to proactively work unsupervised and on your own initiative.
• Clear understanding of the importance of accuracy, and demonstrate this in all your work.
• Ability to write coherent and grammatical English.
• Sound understanding of the main components of Microsoft Office.
