The core workload for the Transportation business is the delivery of multidisciplinary designs ranging from feasibility studies to detailed design, working either direct for rail and highway industry clients like Network Rail, Train Operating Companies, Transport Scotland, Local Authorities or increasingly for design and build contractors.

We are seeking an Administrator to be based in our Glasgow Office to provide administrative assistance to our project teams.

The role will be 30 hours per week and the succesful candidate are expected to work 5 days a week.

Responsibilities

You will be responsible for: Administration and support to our project teams based in Glasgow, including;
• All travel arrangements for Transportation
• Daily liaising with clients, suppliers and other Atkins employees out with Transportation Department
• Mail management – handling mail and correspondence
• Pool car management – Log, diary, repairs and maintenance
• Archiving
• Minutes and note taking
• Booking meetings and organising refreshments
• Maintaining Staff list, Staff photos and floor plan
• Printer maintenance and replenishment
• Management of all PPE, stationary and sundries
• Create and collate all CV’s for Transportation
• Assist in putting together bids and reports
• Client meeting coordination
• Monitor events budget
• Organising / booking office events and briefings.
• Organising Safety Training
• Help with running and setting up of Transportation Roadshow


Experience and Skills

• Previous administration experience within a busy office.
• Extensive use of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
• Liaison with a wide variety of staff and clients at all levels
• Ability to act on own initiative and operate in a proactive way
• Excellent interpersonal skills
• Ability to communicate effectively at all levels.

The Individual

• Be self-motivated and able to work both independently and as part of geographically remote teams.
• Can demonstrate experience in a similar role.
• Have excellent communications skills – written and oral.
• Have excellent organisational skills
• Possess a willingness to work with Clients and their project teams.
• Have a reliable and responsible attitude, pay attention to detail and have a flexible approach to achieve the most successful outcomes.
• Demonstrate the ability to identify and input to activities in support of the wider business objectives that may draw upon skills in addition to those outlined above.

This role may require security clearance and offers of employment will be dependent on obtaining the relevant level of clearance. If this is necessary it will be discussed with you at interview.
