Business Support Administrator

We are looking to recruit an experienced Business Administrator to join our Infrastructure team in the Newcastle Office.

We specifically require someone to provide day to day project and administrative support to key stakeholders of the team as well as to the wider team. Ultimately you’ll be required to assist the team in meeting their objectives and their clients’ requirements. It is a busy and vibrant environment and for the right candidate we can offer a diverse and interesting workload.


Please note this is a maternity cover and the suitable candidate will be required to work from our Newcastle office, approximately 30 hours a week with a minimum of 6 hours on a Friday. 



The candidate
You will need to demonstrate strong administration skills with a focus on professionalism and efficiency, with the ability to make decisions promptly.  Ideally you would have gained prior experience within a similar professional services environment. 
 
Additionally you will possess excellent communication skills as you’ll be required to communicate with individuals internally and externally at all levels.  Due to the nature of the role it is necessary to be numerate, possess excellent reporting and have advanced experience of the Microsoft Office suite, in particular Word and Excel.   
 
It is essential that you manage your own workload and have experience of working in a team environment as well as independently.  Due to tight timescales and shifting priorities it is important to have the ability to work well under pressure and have proven success in meeting tight deadlines.

In order to succeed within this role it is essential to have a ‘hands-on’ approach with a positive attitude, together with outstanding organisational skills and high attention to detail.  Due to the evolving nature of this role it is crucial to be adaptable, reliable and trustworthy.

The key responsibilities of the role are as follows, however are not limited to:
Creation and management of project spreadsheets
Proof reading; a good standard of English is required
Supporting on Project management  
Arrange meetings / Staff events / team building  
Document management
Minute meetings (occasional)
Preparation of PowerPoint presentations
Booking travel, accommodation, hire cars buffet lunches etc.
Timesheet support and reporting 
Coordinate office Health Check distribution to Senior Team 
Assisting with new starters inductions and HR Onboarding process 
Providing support with the leaver admin process
Manage and maintain the current staff lists
Administrative supporting of site staff
Support with Project Accounting
Support Atkins QSSE Representatives 
Acorde (in-house finance tracking system) actions 
Maintaining the QSSE registers and SharePoint Sites 
Updating and monitoring Office Emergency Register
Undertake preparation for Audits and Reviews  
Maintain Project Tracker 
Atkins Office Safety Champion (OSC)
Completing and submitting purchase orders
