Atkins seeks an energetic and highly motivated self-starter to join our Houston, Texas office as a Construction Records Keeper.


MAJOR FUNCTIONS/ROLES:

Provide professional, highly skilled, administrative support of a complex and confidential nature. Relieve manager and staff of routine administrative matters, demonstrating initiative and knowledge of unit's function and goals, as well as company organization, policies and procedures. Coordinate activities and communications across various units using tact and discretion.


JOB DUTIES:

At this level, the position applies advanced skills to relieve executive of as much administrative detail as possible, anticipates the executive's needs and alerts him/her of matters, appointments and situations that require his/her attention or consideration. Duties reflect substantial amount of variety and complexity. Requires interpretation of established procedures and policies.

Administrative Duties:

Attend Weekly, Partnering and Bi-Weekly Meetings, Record and type minutes for all meetings

Enter and maintain a database of all Submittals (ie. correspondence, emails, reports, mix designs, shop drawings, plan revisions, schedules, etc ) RFIs, Change Orders and Invoices submitted

Maintain Log of all certifications for personnel on project

Set up paper filing system to correspond with the electronic project files

Keep safety binder up to date with safety minutes and topics

Keep asbuilt files and log up to date with revisions

Keep the Monthly Progress Table up to date for Partnering and Bi-Weekly meetings.

Monitor documentation of all Change Orders approved for projects.

Project Documentation Duties:

Verify Subcontractors Approval in SM and submit for TxDOT approval.

Check inspectors daily work reports (DWRs) for accuracy and signatures.

Check daily Diary in SM to record all time charged, time suspended, holiday or credit days.

Run monthly estimates for construction projects and print and check the Contractor Estimate Package and the Over/Under Run Report.

Source materials in SM and verify on the approved source list. If structural (yellow) deficiencies exist, send invoices to appropriate parties.

Verify DBE/SBEs and Prompt payments are submitted monthly.

Verify that paid invoices are submitted for all Materia on Hand requested.

Enter into SM Checklist of Events, the dates that SW3P’s, monthly barricades, DBE/SBE, Prompt Payments, and Employee Interviews were performed or submitted.

Help or answer any questions field personnel may have.

If a Federal project, make sure Employee Interviews and Commercially Useful Functions are checked and entered into SM.

If a Federal project, make sure all certified payroll is submitted and checked. You may receive paper copies, electronic copies and/or payroll may be submitted thru EPRS.



EDUCATION AND EXPERIENCE:

High school diploma (or equivalent) plus ten years related experience OR an Associates Degree in a related administrative field plus eight years related experience is required.

Experience in Site Manager (SM) or equivalent electronic documentation system required.

Experience in project documentation requirements of roadway and bridge transportation construction projects.


SPECIAL SKILLS:

Excellent communication, interpersonal and organizational skills as well as strong English grammar, spelling and composition skills. Proficient in Microsoft Office (Word, Excel, Access, Outlook and PowerPoint).


PROFESSIONAL REGISTRATIONS:

No Professional Registrations required.


ADDITIONAL REQUIREMENTS:

TXDOT Record Keeping Experience Desired.
