HR Shared Services Administrator

The work of the HR Shared Service team is key to supporting the business, line managers and employees in all things HR. This team provide the HR face to the business and HR Services need to be delivered with passion and commitment providing a consistently great customer experience and making sure services deliver optimally meeting all policy and compliance requirements. The Shared Services Team also includes responsibility for improvement – how can systems, processes and data be optimised to make the service even better and take a pro-active approach to lead not just respond to business requirements.

The HR Shared Services Administrator role will provide a comprehensive support service within the HRSS Advisory Team. The person will be responsible for the administration processes within the team and may be required at times to support the HRSS Advisors with calls from employees.
Requirements

This role is currently being advertised as 12 months FTC.

Qualifications
• Educated to GCSE level or equivalent in English and Maths
• Excellent understanding and experience of working with HR systems preferred

Essential Criteria
• Generalist HR Administrator experience in a high-volume environment and good working knowledge of HR procedures and policies
• Strong computer skills across the full range of Microsoft Office applications, in particular Excel, and Word, with prior experience of HR databases
• An ability to work under pressure to strict deadlines with limited supervision
• Manage a varied workload without compromising quality
• Self-motivated with the ability to work effectively as part of a team
• Good attention to detail to ensure that all documentation is accurate
• Friendly and approachable manner, able to build and sustain relationships based on trust at all levels
• Exceptional oral and written communication skills able to communicate confidently and comfortably at all levels
• Strong customer focus and drive to deliver
• Focus on continuous improvements - ability to identify, share and escalate
• Demonstrate high level of organisation while effectively adapting to changing priorities

Desirable Criteria
Experience within an HR Shared Service operation in multi-country and multi-cultural teams
Entry-level HR Advisory experience. This role will be a good opportunity for an HR Administrator to develop their HR Advisory skills

Responsibilities
• Provide a professional administrative service to business colleagues across a broad range of HR queries and processes.
Tasks may include the following:
 • Filing
 • Case Management using the HR Case Management Tool Service Now
 • Supporting all audit requirements and requests for HR data
 • Preparing files for TUPE out
 • Administer conflict of interest tracking
 • Own all post related activities
 • Support administration activities related to current HR Projects
 • Maintenance of HRSS online resources such as process maps, procedure guidelines, letters and other documents
 • Producing the agenda for team meetings and taking minutes ensuring actions are tracked and delivered on time
 • Coordination of team rota, team events and other activities
 • Advising employees via case, chat and phone
 • Other administrative tasks within the HRSS organisation may be added

• Build excellent working relationships with HR teams, employees, managers and key stakeholders
• Provide skills and knowledge to efficiently deliver an outstanding performance against agreed SLAs
• Identifying customer needs, seeking and providing effective solutions to their queries and deliver excellent customer experience
• Ensure current statutory and legislative requirements are being complied with
• Use the case management and HR system to record and maintain accurate records about activities and tasks undertaken and update HRMS as required
• Have a proactive and collaborative approach, working with HR colleagues and stakeholders to ensure timely and professional delivery
• Liaise with teams within HR Services, HR Business Partners and Centres of Expertise for escalation and resolution of queries and cases
• Work on ‘Agile teams’ to support the delivery of project activities
• Identify and raise continuous improvement opportunities
• Support the implementation of continuous improvement initiatives in processes and systems
