The Role 

The work of the HR Services Team is key to supporting the business, line managers and employees in all things HR. This team provide the HR face to the business.  HR Services need to be delivered with passion and commitment providing a consistently great customer experience whilst ensuring excellent services are delivered and compliance requirements met. The Services Team includes responsibility for HR Systems and Innovations – how can systems, processes and data be optimised to make the service even better and take a pro-active approach to lead not just respond to business requirements. 

The HR Systems & Innovation Senior Advisor is accountable for HR Systems’ products, the delivery and support of HR projects, as well as driving process optimisation and re-engineering processes so that they adopt best practice. 

They will be experienced in techniques such as Lean and Six Sigma and be highly customer focused; ensuring that the processes and systems within the HR Services’ operation meet and exceed the needs of our customers.

Qualifications and Experience
  • HR Systems, Process and Data knowledge across end-to-end HR Operations 

Essential Criteria
  • Well-developed project skills able to lead on scoping, planning, reporting and managing risk in a Project Management Office (PMO) environment
  • Excellent written and oral communication skills to include strong presentation skills
  • Outstanding customer focus and the ability to manage customer requirements through a partnership approach
  • Ability to build strong working relationships/networks with all stakeholders and maintain a high degree of integrity
  • Ability to manage business needs and to balance team and business needs appropriately
  • Proactive “can-do” attitude and approach, flexible to the demands of a changing business environment
  • Proven experience of supervising and motivating a successful team 
  • Senior team member with the ability to prioritise business requirements appropriately and to work and think collaboratively in a shared service environment
  • Experience of managing and running successful projects
  • Develop own knowledge and that of their team to keep up to date with HR systems, process and data policy and documentation changes 
  • Confidentiality with the ability to handle sensitive situations within data protection legislation
  • Ability to drive improvement through the assessment of existing systems and processes and implementation of new system functionality and processes.

Desirable Criteria
  • BA/BSc Hons Degree
  • CIPD or HR Experience 
  • Knowledge and Experience of implementing Data Protection legislation
  • Experience of Oracle E-Business suite specifically HR and payroll
  • Previous experience of working in a shared service environment
  • Up-to-date with process and technology trends and innovation and shares knowledge with the team applying new thinking to drive improvement 
  • Knowledge and understanding of lean process management and Continuous Improvement (CI) techniques
  • Has worked with off-shored service delivery in an HR Systems capacity

Responsibilities
  • Build excellent working relationships with HR teams, Business Leaders, key stakeholders and employees 
  • Manage the delivery of Data Protection, Data Quality Assurance, Data Audit and Governance requirements, processes and issue resolution; ensure processes, systems and data activity fit for purpose and new Data Protection legislation implemented by May 2018
  • Ensure current statutory and legislative requirements are being complied with in all systems, processes and data activity
  • Support the HR Systems & Innovation Manager to ensure CI requirements are proactively driven to optimise HR systems functionality and deliver HR solutions that best meet HR Services needs and the onward business requirements they support
  • Ensure document control managed in-line with HR Protocols
  • Provide support to HR Services on all systems, data, process and project activities to drive through change and implement improvements whilst maintaining BAU service levels
  • Work with the HR Data Analyst to improve collection and reporting of KPIs and SLAs and drive Data Analytics use and CI
  • Support the HR Services Leader and provide advice to the business in leading and driving improvements and CI initiatives, liaising with business stakeholders
  • Coaching and development of HRC services teams around HR systems, data and processes ensuring that HRC is competent in HR systems, data and process requirements
  • Flexible in managing workload to support the HR Services teams in any ad hoc activities that may need to be prioritised
  • Ensure all system, process and data developments, and changes are communicated effectively to HR Services teams, coordinating any resulting training required
  • Work pro-actively to support and deliver excellent customer experience
  • Manage the performance and development of HR Systems & Innovation Advisor 
  • Support the HR Systems & Innovation Manager in planning, developing and implementing HR system change requests, system upgrades and UAT activities
  • Work on various systems, process and data related activities, projects and ‘Agile teams’ engaging with the wider HR Services teams to ensure the necessary involvement
  • Participate in HR Services team meetings contributing on systems, data and process topics
  • Participate in HR Services Governance Forums attending as appropriate to ensure systems and improvements are managed effectively
  • Create and improve robust internal processes and ensure future compliance
  • Keep personal knowledge up-to-date through external networking and attending conferences and events and contribute to internal HR Innovation and Improvement forums
