Job Purpose:
Project Office Logistics Manager main role is to manage logistics operations and coordinate the transport needs for projects of the LINXON Project Office. You are responsible for developing and managing logistics operations to control effectively outbound shipping of equipment from suppliers’ factories (mainly located in Europe or Asia) to project sites (Europe, Middle East).
Key Accountabilities:
Ensure completion of project cargo transport execution until final delivery and project closure, as per budget and within project planning requirements.
Insure the safety of the teams and the equipment’s by respecting and promoting the LINXON HSE roles and regulations
Review transport requirements of the project (at tendering or execution stages) and provide related advice to project manager of most appropriate and cost-effective transportation mode.
Ensure feasibility of transportation to site (heavy loads) and compliance of shipping with all local and global regulations, necessary permits or authorization. (handled by nominated transport supplier but controlled and confirmed by Logistics manager)
- Prepare RFQ to forwarders, and perform bid analysis, including price comparison and risk assessment.
- Coordinate with Supply Chain Manager for the issuance of purchase order to the selected freight forwarder
- Managing the purchase order to the freight forwarder, ie undertake the routine and timely expediting of all services and documentation as required by the project team, notification of freight forwarder when in breach of contract (delay), preparing and negotiating claims as well as administration of invoices If required, Physically accompany the movement of special or critical material in order to observe the loading, transport and unloading of such material from point of origin to jobsite
- Lease with the units and ensure excellent cooperation with project team
- Maintain internal and (in exceptional cases) external customer relationships (Customer Facing)
- Support the teams for the execution of the projects when is needed
- support the units in all aspect (pricing, tendering or technical) in heavy lift and project operations
- Keep abreast of Trade Compliance, customs rules and regulations including the investigation of applicable VAT / Tax procedures and implications both domestic and abroad
- Review and approve/deny pricing exceptions per contractual arrangement with forwarder
- Follow up shipments while in transit and deviations
- Support Accounts Payable and Freight Settlement for freight payment reconciliation.
