Purpose of the role


The Atkins office at the Royal Pavilion, Aldershot is seeking an Office Manager and Deputy Security Controller. This is varied and interesting role managing an office housing a diverse range of projects from across the Atkins divisions, including aerospace, defence, transportation and infrastructure, and functions such as commercial, finance and information systems. As a Deputy Security Controller, we are seeking someone to assist with the overall responsibility for day to day security issues. Assisting in ensuring that appropriate levels of security are in place to protect office assets and data.



Responsibilities

Office Management

• Ensuring and maintaining evidence that the office complies with legal requirements
• Ensure mandated testing and inspections are conducted
• Represent the office at meetings with the landlord
• Planning the utilisation of the office space
• Chairing and minuting the monthly office management and security meeting with the House Manager, Regional QSSE Representative and other office representatives
• Escalating issues and risks to the House Manager
• Coordinating the activity between the landlord and facilities contractor
• Maintaining and reviewing the Business Continuity Plan, including testing the plan at least annually
General Administration
• General administration and business support to the office
• Purchasing of equipment and other items
• Ordering of stationery
• Maintenance of the copy and print area and post and franking
• Maintaining and encouraging a tidy office and clear desk policy
• Organising meeting rooms and catering requests
• Arranging travel and hotel arrangements and rail ticketing
• Maintaining staff and group distribution lists
• Arranging couriers
• Burning CDs
• Supporting the induction of new starters
Deputy Security Controller (DSyC)
Assisting Security Controller in the following;
• Maintaining oversight of classified holdings, including periodic musters, booking in/out of classified documents
• Maintaining access control to secure areas
• Accident & Incident licence holder for reporting,
• Checking security clearances.
• Identifying threats, vulnerabilities and critical assets.
• Carrying out risk management
• Implementing policies and procedures commensurate with the risk.
• Monitoring and reporting on compliance
• Carrying out security investigations.
• Responding to critical incidents.
• Contributing to business planning for security
• Raising awareness, education and training related to security.
• Providing oversight to the accreditation process.

• 4 hours a day for 5 days
Training

These are reviewed with individuals through an annual Performance Development Review process. We actively support staff in achieving corporate membership of relevant institutions.
This role may require security clearance and offers of employment will be dependent on obtaining the relevant level of clearance. If this is necessary, it will be discussed with you at interview.
