We require an Office Manager to carry out a 50/50 split role in our Chelmsford and London office.  Providing support within the Transportation Division.

The role holder will provide support to the House Leader and various teams within the two offices, working collaboratively with the wider Transportation admin function.  The role requires an experienced and flexible person to take a proactive approach to supporting and working within an agile office environment, ensuring the efficient operation of the office including front of house support in the Chelmsford location.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.  Other duties may be assigned.

Providing an efficient support service to the team, duties will include but are not restricted to:

  • Support the House Leader with H&S duties, office maintenance, office risk management, facilities management, and office moves/office rearrangement.
  • Coordinate desk-use arrangements with House Leader and local teams.
  • Provide administrative support for House Leader and staff for office related tasks where required.
  • Point of contact for the organisation’s facilities management team and regional HSE contact.
  • Maintain pool PPE equipment and signing out process.
  • Maintain compliance records and update property database.
  • Liaise with landlord and maintenance contractors.
  • Maintain the overall office appearance and function.
  • Manage emergency evacuation procedures and co-ordinate duty holders (fire marshals and first aiders).
  • Draft office procedures and implement office policies.
  • Point of contact for local office and external staff, being aware of local, wider business and central operational updates.
  • Manage local office inductions (staff and visitors); assemble induction packs, liaise with line managers and new starters to support with onboarding.
  • Lead/assist with the coordination of local events and initiatives, such as social, charitable, and environmental.
  • Utilise online communication tools to keep staff connected as an office community. 
  • Reception duties, meet & greet guests, and manage visitors with landlord reception.
  • Answer incoming calls and direct accordingly.
  • Manage office services, meeting rooms, catering arrangements, stationery stock levels and welfare supplies.
  • Manage post and courier deliveries/collections (ensuring that the process is seamless)
  • Manage correspondence, filing and archiving.
  • Assist with ad-hoc administration duties and/or administration support for project teams.
  • Process invoices for office purchases.
  • Identify cost savings within office overheads.
  • Liaise with other support staff to provide support when required.
  • Fire Marshall (training will be provided).
  • First Aider (training will be provided).

REQUIREMENTS:

Essential skills

  • Professional and confident manner.
  • Resourceful, self-motivated, able to work autonomously and manage own workload.
  • Excellent administration skills, methodical with good attention to detail.
  • Positive, proactive approach and able to problem solve with a calm, can-do attitude.
  • Flexible, willing to pitch in with all tasks and able step away from routine when under pressure.
  • Strong communication skills with internal and external contacts.
  • Approachable and enthusiastic with strong client and team interpersonal skills.
  • Computer literate including working knowledge of Microsoft Suite (Outlook, Excel, Word, PowerPoint, SharePoint, and MS Teams).
  • Good team player and willing to support the team.
  • Good organisation skills with ability to manage multiple tasks.
  • Good time management skills with ability to work to deadlines.

Desirable skills

  • Experience of working in a similar role is preferred.
  • Experience of working in engineering/construction sector.
  • Knowledge and experience of office compliance (such COSHH, environmental impact, electrical, water hygiene and fire safety) and business continuity planning.
