ADS&T are looking to appoint a Personal Assistant to support the MD HRBP and some support to FD There will be a requirement for an experienced and flexible person to balance traditional PA responsibilities with additional tasks, some requiring a creative flair as required. This is a full-time role based at our Head Office in Euston Tower and normal working hours are 08.30 am to 5pm with an ad hoc requirement to work extra hours where required.
Requirements
• Experience of working in a similar role is preferred.
• Experience in providing multiple support (ie. more than one Director at a time).
• Excellent administration and communication skills
• Inbox management
• Computer literate including working knowledge of Microsoft suite (Outlook, Excel, Word and Powerpoint)
• Professional telephone manner
• Excellent attention to detail, with the ability to produce quality documentation
• Good team player and willing to support the team and help out when other PAs are on holiday
• Being able to be comfortable with financial figures/being numerate an advantage
• Able to build relationships
• Good organisational skills with ability to manage multiple tasks
• Good time management skills with ability to work to deadlines
• Experience of prioritising a varied and busy workload and with the use of own initiative at all times
• Experience of working under pressure and meeting deadlines
• Communicate at all levels
• Experience with contracts/legal documents an advantage
Responsibilities
Providing an efficient PA support service to Managing Director HR Business Partner and FD. Duties will include the following but not restricted to:
• Providing diary management utilising Microsoft Outlook
• Arranging meetings, inviting attendees and preparing/circulating document packs as required
• Taking minutes when required
• Processing expenses and invoices
• Events organisation on an ad hoc basis
• Dealing with all correspondence, including emails and filing
• Screening telephone calls and taking/passing on messages
• Communicating information appropriately, with both internal and external contacts, to ensure that deadlines are met
• Preparing presentations/reports/packs
• General typing of letters, reports etc
• Deputising for another administrative support member when necessary
• Booking travel and accommodation including flights/cars/visas etc. via the company’s approved travel agent
• Support to House Manager including Lead change champion for Office moves
• Co-ordinating the office manager and PA network across ADS&T

• Excellent oral and written communication skills
• Good interpersonal skills required (tact, honesty, integrity, confidentiality, patience and ability to get on well with all levels of staff)
• Positive proactive approach, able to pre-empt actions required and act accordingly
• Professional and confident manner
• Organised and efficient
• Flexibility to deal with changing priorities and tasks
• Discretion due to exposure to confidential information
• Cheerful disposition, with a good sense of humour
• Flexible, approachable and willing to pitch in with all tasks and step away from routine when the pressure is on
