PROJECT SECRETARY (CONTRACT )

Our skills include the expansive area of Architecture and Interior Design for which we are looking for candidates to join our design studios who are excited about working in a multi-disciplinary environment.
 
Our portfolio comprises a broad range of project types, including hospitality, office, commercial, transport, residential, retail and regeneration and civic projects. Ranging from small heritage buildings to massive complex mixed-use projects and large scale master plans.


Required Skills / Qualifications
  • F.7 or above with formal secretarial training;
  • Minimum 4 years’ relevant experience;
  • Proficient in PC knowledge (including MSWord, Excel, PowerPoint and Chinese Word Processing);
  • Good command of written and spoken English and Chinese;
  • Initiative and able to organize work efficiently and independently;
  • Strong communication and interpersonal skills;
  • Immediate available is preferred.
     
    Responsibilities
  • Provide high level secretarial and administrative support for the Head of Organisation. 
  • Requires discretion, confidentiality and detailed knowledge of the organisation’s operations, procedures and people;
  • Manage the Director / MD / CEO's appointments and schedules and make travel arrangements to make best use of their time; 
  • Maintain the executive's special / strategic projects. Advises, supports, assists, coordinates and collaborates on special projects which are highly complex and involve creation and oversight of multifaceted teams;
  • May have access to the executive's email accounts to schedule their appointments and answer or redirect routine enquiries from internal or external sources;
  • Handle confidential information and maintain the security of the executive’s records and files. Perform other administrative tasks using independent judgment and discretion;
  • Plan, organise and schedule own workload so that these activities are completed accurately and on time;
  • Activities may include preparing documents and presentation materials; screening and responding to incoming correspondence, inquiries and phone calls; drafting letters and official information releases; arranging and attending meetings; taking and distributing minutes.
