Senior Document Controller

The Senior Document Controller is responsible for the leadership and management of document control across the EWR programme. This will include working with the Programme Technical Leader and Information Manager to ensure that a suitable strategy, processes, procedures and systems are in place to manage documents effectively in both electronic and hard copy format across the programme.

Reporting directly to the Programme Technical leader, the Senior Document Manager is an integral part of the Engineering Management core team and the overall alliance team and takes full ownership of the management and control of documents on the programme. They will also be required to act as the functional line manager for other Document Controllers who in turn will provide a document management service for the individual project teams to which they are assigned.

Responsible for:
• Develop, manage and maintain the Alliance document control systems, software, processes and procedures working in conjunction with the Alliance Information Manager.
• Maintain a record of controlled documents both Incoming and Outgoing.
• Record incoming I outgoing correspondence, design and other documentation.
• Regularly review and update Alliance specific Document Control procedures and processes and ensure compliance with these.
• Work closely with the Alliance Information Manager to ensure that the Document Control strategy, processes and procedures are fully aligned with the DE strategy and execution plan.
• Assist in production and approval of the alliance collaboration protocols document.
• Assist the Design and Alliance team to ensure accurate distribution of information, management of the review and approval cycle and ensure that project deadlines are met.
• Carry out regular QA checks on all published information/documentation in accordance with the alliance document control procedures to ensure compliance.
• Receive/check/distribute documents in accordance with the alliance document management procedures/distribution matrix.
• Provide help and support on the Alliance document management processes, procedures and software to all project users, both internal and external.
• Produce all document management reports in accordance with project requirements, both internal and external.
• Develop an awareness of and improve knowledge of other information management applications and systems.
• Recruit, build, lead, develop and supervise a team of document controllers to support the individual project teams within the alliance.
• Hold regular review meetings with individual groups within the alliance team to discuss issues, provide help, support, guidance and enable knowledge sharing.
• Manage and feedback outstanding issues to Head of Engineering.
• Be involved in the training and personal development of individual members of their group.
• Manage the coordination and handback documentation to the client.
• Represent the Alliance on Network Rail document management working groups.


Expected
• Previous experience in a document control position
• Working knowledge of collaboration/EDM systems (PW/eB)
• Some knowledge of civil engineering projects and a general technical ability
• Ability to identify, map and manage processes
• Strong interpersonal and team working skills
• Excellent communication skills, both written and verbal
• Ability to work under pressure and meet timescales
• Manage resources where applicable
• Logical approach
