Support to the Regional Corporate Real Estates Director and the Team
The CRE team manages and is responsible for UK & Europe accommodation including the property portfolio, leases, workplace and facilities management.
This role is for a dynamic individual who can respond to the ever-changing requirements of workplace It will involve liaising with key stakeholders from the businesses, HR and technology (Group IS) and coordination and support for the Regional Corporate Real Estates Director and Team.

This role can be based in Epsom/London and requires to travel to other offices from time to time.

Responsibility and Ownership
Duties will include, but not restricted to:
• Project support and governance: consolidating progress reports, ensuring projects are compliant (e.g. the have: project plans, stakeholder plans, risk registers)
• Project closure: collating and managing lessons learnt, case studies and user surveys (Survey Monkey)
• Maintaining the Prolease database, collating and analysing property and utilisation data
• Maintaining and uploading information onto the intranet, including the Workplace Guide, property and team information
• Managing project communications: setting up and administering internal sites such as Yammer, Sharepoint and monitoring “Have your say?”
• The Workplace Guide: managing the content and obtaining feedback from furniture trials
• Risk Management for the team
• Compliance with own and teams’ deadlines
• Diary management involving arranging travel, accommodation, meetings, preparation and circulation of documents packs, meeting minutes and notes as required.
• Office organisation, dealing with all correspondence, including emails and filing, fielding telephone calls as appropriate, monitoring holiday records and timesheets
• Important documents and files – processing lease documentation
• Audits – to include CSA (Control Self Assessments), internal and external company audits, Directors Safety Tours
• Collating strategy documents
• Performing Rights licences
• Supporting and driving new company change and initiatives through the team e.g. Standard operating Procedures (SOP’s), use of stand back cards, agile working
• Designated “Move” manager for the move into the new location - Epsom

Requirements
Essential
• Experience of working in a similar role and environment.
• Excellent administration communication and engagement skills
• Data analysis of property forum data, collation of survey monkey data and understanding and monitoring of performance management
• Self-motivated, pro-active and positive, able to pre-empt actions required and act accordingly.
• Ability to work on own initiative, taking the lead and ownership for office related projects, stepping away from routine when the pressure is on.
• Team player with a flexible approach, and willingness to get involved to help the team.
• Excellent computer literacy skills: including a working knowledge of Sharepoint and the Microsoft suite (graphs, presentations, data analysis)
• Excellent attention to detail and ability to research and collate information to produce quality documentation
• Excellent organisational skills with flexibility to manage multiple tasks, and flexibility to deal with changing priorities of a busy and varied workload.
• Excellent time management skills and ability to work to and meet deadlines
• Discretion due to exposure to confidential information.
• Ability to deal with internal and external customers and third parties with confidence and diplomacy

Desirable
Familiarity with legal documents and property terminology.

Security Clearance:
