Atkins is one of the world’s most respected Design, Engineering and Project Management consultancies and is a member of the SNC-Lavalin group.
Objectives of the role:
• Assist Assistant Resource Managers, and Resource Manager to meet Atkins Resource requirements, for all projects currently active, to include Construction, SMART team and Trace Team.
• Comply with appropriate procedures in procurement of resources.
Principal Activities:
• Assist as and when required in the co-ordination and support of Construction resource team.
• Adhere to procedures and processes to enable efficient and cost effective provision of all Resource requirements.
• Co-operate with quality, health and safety and environmental objectives of Atkins, contribute, where appropriate, to Atkins commitment for continual improvement.
Main Tasks and Responsibilities:
Perform all work with attention to detail, to produce an end product that;-
• Book Hotels for Construction staff, giving appropriate information to PHR for every booking.
• Send confirmation of bookings to staff.
• Expedite, updates on availability of Agency staff
• Review invoices in ARM’s queue’s to keep down to an acceptable level (no invoices older than 30 days), coding to job numbers and checking for discrepancies to Electronic Purchase Orders issued
• Ensure swift resolution of any discrepancies with agencies
• Relaying info to Goods Return Note clerk to enable timely invoicing by agencies
• Updating of staff whereabouts spread sheet accurately for all agency resources, for each site.
• Updating of Annual Leave spreadsheet accurately, maintaining integrity of information there in.
• Attend Resource meetings to be briefed on updates and changes, take minutes, provide input and feed back.
• Process new starters forms with HR and Training Department.
• Process medication forms with HR and relay any restrictions back to site management
• Obtain ID cards for all new staff.
Qualifications and Experience:
• Competent in using Microsoft Word and Excel programs
• Have a commercial awareness
• Ability to understand basic account balancing
• Have good communication skills, both in a team environment and with customers or suppliers
Quality, Safety and Environment Information:
Atkins Rail provides a fully comprehensive legislation, quality, safety and environment standards information service via its electronic Intranet facility available to all staff. Safety Libraries at each major office location provide a further information source. Where appropriate to the duties performed, individuals will be issued with a personalised Network Rail Rule Book.
Quality, Safety and Environment Responsiblities:
• Manage as required, work activities to enable Atkins Rail to meet its legal and contractual safety responsibilities.
• Be aware and prepare as required risk assessment documentation to include into project plans/ method statements and brief and implement identified control measures.
• Check that staff and sub-contractors receive induction training, hold current certification and are competent to undertake their duties. Report non compliances to the appropriate manager / company.
• Author or Check safety critical documentation (RIMINI, Method Statement / Workplan etc).
• Report health, safety and environmental accidents / incidents through Atkins Rail reporting process. Assist with investigations as required.
• Comply with Atkins Rail Drug and Alcohol Policy and monitor performance of staff and sub-contractors.
• Adhere to the Atkins Rail Working Time Arrangements by reporting, prior to the event, any likely infringement.
• Attend safety meetings and briefings. Disseminate information to staff and sub-contractors under your control in a timely manner and pass feedback to your appropriate manager.
• Check that PPE and other safety equipment issued to staff is fit for purpose. Record issues and monitor use, storage and inspection.
• Be aware of, and check as required arrangements for fire evacuation / prevention and first aid.
• Using prescribed management check sheets / lists undertake assessment of staff performance and competency.
• Using prescribed management check sheets / lists undertake assessment of plant and equipment prior to use. Check that operators are certificated and competent.
• Co-operate with audits and conduct Technical and Safety inspections.
This role may require security clearance and offers of employment will be dependent on obtaining the relevant level of clearance. If this is necessary it will be discussed with you at interview.
